Case study · Rentadeal
From workshop bottlenecks to better control across the business.
Rentadeal’s story began with a workshop question. It grew into hands-on work across people, processes and systems, with improvements put into use as the business continued operating.

Too much work between the systems.
Rentadeal runs vehicle rentals, lease-to-own and an in-house workshop. The initial concern was workshop management: repair flow, parts control, vehicle readiness and visibility of the work needed attention.
There was a wider problem too. Customer, vehicle and operational information sat across separate systems and spreadsheets. Staff repeated administration, handovers depended on individual knowledge, and management needed people to pull the picture together.
02 · Understand the work
Start with the people doing it.
Jason began by spending time inside the workshop. During the initial two-week investigation, he listened to the workshop manager, parts team, technicians, owner and sales staff, observed the work and traced the bottlenecks.
The first decision was whether a workshop management system would actually help, and what else needed to change around it. As the engagement expanded, the same approach was taken across seven departments: understand the current work, agree the priorities and make the next steps clear.
03 · Make the change
Put the changes into everyday use.
AutoButler helped select and implement Evolv WMS, alongside changes to job cards, repair flow, quoting, invoicing, inspections and reconditioning standards. Training and phased adoption helped the team use the new way of working.
The wider work became RAD 2.0, built with Castigroup on DataHubPlus. Jason led the operational discovery, process design, business rules and adoption work; Castigroup provided specialist technical development. Disconnected trackers were progressively replaced with structured customer, vehicle and contract records and connected workflows.
04 · The operation now
What that makes possible.
- Workshop work with a clearer structure
Job cards, inspections and repair standards give the team a more consistent process to follow. A working AI technician supports the repair workflow through Concern, Cause, Correction, Confirmation and Communication. It supports technicians rather than replacing their judgment.
- Customer, vehicle and sales information that connects
Structured records and workflows support customer, vehicle and contract creation. Enquiries can be managed and approved in a clearer pipeline, with management visibility of sales activity. Enriched vehicle data and Lightstone pre-purchase reports support buying decisions.
- A controlled path from signing to an active contract
Recent testing has taken the customer journey through agreement signing, mandate and bank authentication, upfront invoices, payment confirmation and the damage inspection required before the contract becomes Active.
- Income information that shows where to look
Implemented income-control views show expected and received payments, failed debit orders, outstanding contract balances, top debtors, contracts approaching arrears and at-risk accounts. Management can see which payments and accounts need attention.
A continuing working relationship.
The owner reported less unnecessary duplicate work, better data flow and more accessible management reports. The work continues as the business changes, with further improvements, testing and adoption shaped around the next operational need.
